Job Description

Role Mission

The Purchase Administration Coordinator, under the supervision of the Controller Corporate & Industrial Activities, must ensure that all orders and order change requests are processed accurately and in a timely manner. It’s responsible for 100% order coverage, and will also identify new areas of opportunity, lead other people to reach the targets, and be in charge of special projects related to Purchase Administration.

Key Accountabilities

* Ensure all orders and order change requests are processed accurately and in a timely manner
* Support department in all back-office activities: contact with supplier, reporting, problems with order
* Identify and manage troubleshoot when order issues arise
* Be responsible for a general understanding and proficiency in all database functionalities (SAP - AS400)
* Ensure order accuracy by following established department policies and procedures
* Ensure adherence to all corporate policies, procedures and guidelines
* Assist with special projects as needed
* Identify areas of opportunity to improve order execution process and recommend solutions
* Communicate with both internal and external customers
* Identify inaccurate and/or incomplete orders and follow up with the department/supplier to resolve
* Perform the goal of the 100% order purchases coverage
* Ensure data accuracy goals >98% of orders error free (strive for zero)
* Ensure order management reports are reviewed daily and proper action is taken to resolve order issues (Reports: open order, billings due, blocked orders, incomplete orders, etc.)
* Quickly adapt to business needs and requirements as they change

Key requirements

* High School Diploma or Bachelor Degree
* 3-5 years of experience in order management and/or supplier accounting department
* Strong accounting principle knowledge
* Ability to lead people
* Knowledge of SAP and AS400
* Proficiency in Microsoft Office Suite (Excel, Outlook, Power Point, Word)
* Robust critical thinking skills, attention to detail, and love for problem solving
* Strong interpersonal and communication skills
* Ability to complete all job responsibilities in an accurate and timely manner
* Ability to work independently
* Fluent in English
* Experience in luxury environment (preferred)
* Experience in Management Controlling Dept (preferred)
